This article explains when a new hire's official university email address is created and when the employee can begin accessing it. Timing is based on when the employee completes their profile in Workday and how close they are to their official employment start date.
Email Address Creation Timeline
Faculty, Staff, and Adjuncts

Employees receive an automated email from Workday prompting them to complete their profile shortly after being hired.

A new employee email address is created within 24 business hours of the employee completing their Workday profile, as long as the profile is completed no earlier than 60 days before their official start date.

Even if the profile is completed early, email addresses are not created until 60 days before their official start date.

An employee will not receive a notification when their email is created (this is being looked into, but isn't currently available).

Adjunct instructors will retain access to their email account for 120 days after their contract end date, allowing for a smoother experience when teaching across multiple semesters.
Concurrent Enrollment Instructors

For high school instructors teaching concurrent enrollment courses, an email address is generated, and email access is granted, 7 days before their official start date (Start Date – 7).

Email addresses will not be created or accessible any earlier, even if the profile is completed before that point.
Accessing the Email Account

Once created, employees can access their university email through Microsoft Outlook on the web. Once they have a university device, they can use the Microsoft Outlook desktop app if preferred.

Use the login format: StarID@minnstate.edu and your StarID password.

Upon first login, employees will be able to see their official university email address (e.g., firstname.lastname@mnsu.edu), which is the address they will use for sending and receiving messages.

First-time users may need to complete password setup and multi-factor authentication if they haven’t already.
