This article is intended for faculty and staff who are submitting a transfer course for an equivalency review. It includes the steps needed to submit the course in the Transfer Evaluation System (TES). Any faculty or staff member who has access to TES can submit a course for review.

How-To

Step 1: Log In

  • Log in using your MSU email address and the password you set when you created your account.

  • TES uses multi-factor authentication. If you haven’t logged in within 90 days, you’ll need to enter a code sent to your MSU email.

Step 2: Find the Sending Institution

  1. Hover over Search.

  1. Click Course Finder.

  1. Use the search bar to enter the institution’s name or keyword.

  1. Click Search.

  1. From the results, click the arrow to the left of the correct institution.

Step 3: Choose a Data Set

  • To use the most recent course listings, click Select next to the latest data set.

Step 4: Find the Sending Course

You can search for a course in one of three ways:

  • By course code

  • By course title

  • By department dropdown menu

Once found:

  1. Check the box next to the course.

  1. Click View in the upper right corner.

Step 5: Check for Existing Equivalencies

  • You’ll see if there’s any equivalency history for the course.

  • Even if the equivalency exists outside of TES, it's recommended to enter it here for tracking.

Step 6: Propose a Course Match

  1. In the upper right, hover over the icons.

  1. Click on the two feet icon to create a new equivalency.

Step 7: Choose the Equivalent Course

  • The transfer course appears on the left.

  • To choose the equivalent course:

  • Use the department drop down or the Search button (upper right).

  • Search by course code, title, or description.

  • Click the plus (+) next to the correct course.

If you're not proposing an equivalent, leave it blank and a reviewer will assign one.

Step 8: Preview and Add Support Files

  1. Click Preview (upper right).

  1. If available, upload supporting documents (e.g., syllabus, course outline).

  • Note: Uploads are optional.

  1. Double-check that the course info is correct.

  1. Add any helpful comments for the reviewer.

Step 9: Assign the Evaluation Task

  • Under Assign to, select the appropriate Department Chair.

  • If you are the chair, assign it to Lindsay Smith.

  • Click Create Evaluation Task to finish.

What Happens Next?

  1. Department Chair reviews and approves in TES.

  2. Registration & Academic Records enters the equivalency in uAchieve (used for degree audits and eServices).

  3. Transferology is updated twice weekly (Monday & Wednesday nights).

Only students evaluated after an equivalency is entered will be automatically affected.  Students already enrolled require manual updates (no substitution form needed). Submit manual update requests via Registration and Academic Records
