Navigate360: Faculty/Staff - Scheduling Appointments With Students Outside of Advising/Instructor Connections

This article instructs faculty/staff on how to schedule appointments with students outside of their advising/instructor connections.

Overview

This quick guide is for you if you are a faculty or staff person who would like to schedule an appointment with a student you do NOT have a direct relationship with (i.e. they are not in a course with you/you are not their Assigned Advisor.)  Students that are not your direct advising assignee or in your class currently will NOT be able to access your calendar via your Personal Availability Link (PAL) or via their My Team area in the Student Appointment Tab in Student Navigate360.

Scheduling Steps

1. Log into Navigate360. 

2. Click on the advanced search icon.

Advanced search icon3. Put in the student’s last name or TechID or StarID in the top box under “Keywords." (NOTE: we recommend searching by TechID or StarID to ensure you are searching for the correct student. If you must search by last name, verify that you are connecting with the correct student.)

4. Scroll down and click the blue search button.

Blue search button5. Once you find your student, check the box to the left of their name.

6. Then click on the “Action” area to open your action options:

Actions dropdown menu.7. To Quick Schedule an appointment click on "Schedule Appointment".

  • You would fill out the Care Unit (Faculty Academic Advising), Location (Faculty Member’s Office), Service, and Meeting Type areas. 

  • Choose a date/week to view your availability 

  • Click on the button next to your name 

  • Choose an open slot  

  • And Click on SAVE (not shown in screenshot)

8. To document an impromptu drop-in appointment (appointment was not scheduled, but student dropped in and you want to document it in Navigate360), you can choose Create Ad Hoc Appt Summary (the time will auto-fill to current time, but you can change it to make it in the future).

Fill in the areas in yellow at a minimum but you can fill in additional details as desired. See the "Report on Appointment" guidance for more information.
