Overview
Faculty and staff with permission to issue alerts in Navigate360 may find that the feedback or information that they submit via progress surveys or ad-hoc alerts results in the creation of a case. Cases allow student support staff to review the alert details along with other relevant information in the student's record. Depending on the alert type and the student's support team, the Office of Student Success either conducts outreach directly or assigns the case to an appropriate member of the student's support team for follow-up.
During this time, assigned staff members attempt to connect with the student multiple times over a period of time using various methods, including email and phone calls.
The following article reviews reviews the different types of case closure labels faculty and staff use when closing a case following completion of student outreach.
Case Closure Label Meanings
This table reviews the different type of case closure label meanings.
| Case Closure Reason |
Case Closure Definition |
| Student Responded/Closing Case |
Student responded to outreach and had two-way communication with someone about the alert. |
| Outreach Completed, No Student Response/Closing Case |
Multiple outreach attempts were made, but student did not respond to student success staff member follow-up within 2-3 business days. If the faculty raising the alert remains concerned about the student, they should submit additional alerts or contact the Department of Student Success directly at studentsuccess@mnsu.edu. |
| Admin Use Only: End of Semester/Closing Case |
The alert/case was open past the duration of the course. |
| Admin Use Only: No Action Necessary/Closing Case |
A duplicate progress report or alert were submitted at the same time for the same student in the same class. Student Success will close duplicate(s) and keep one alert open for outreach. |
Why Was the Case Closed if the Student Was Never Reached Or Their Performance Stayed the Same?
During the semester, several thousand cases may be open concurrently in Navigate360. When cases remain open after multiple outreach attempts, the Office of Student Success has a reduced ability to efficiently identify and respond to new cases requiring attention.
To support effective case management workflows, cases may be closed after multiple outreach attempts have been completed. Closing a case does not end support efforts. Staff continue to monitor these students, provide updates to appropriate faculty and support team members, and keep students on outreach and follow-up lists as needed.
If your concerns continue for the student and they have not improved their academic progress, please submit another alert and/or reach out to .
