What is a File Name?

A file name is the label given to a file when it's saved on a computer or in a shared drive. Using descriptive file names formatted correctly helps all users, especially those using assistive technologies, quickly find files and understand what a document contains.

Best Practices

  • Avoid spaces, capital letters, and special characters.
  • Use lowercase letters and hyphens between words.
  • Keep it short and use specific keywords, no vague terms like “Document1.”
  • Example: budget-report-2025

How to Edit a File Name

Apply a descriptive file name the first time you save it. Or, rename an existing file by right clicking and selecting Rename.
