Technology Software and Services Review

Description  

The Technology Software and Services Review is a process that's required by the system and, in some cases, the state, the ensure all security, legal, and accessibility standards are met for new software, applications, online tools, services, and certain technology purchases for university work. This process also applies to free tools, trials, or pilots.

Before purchasing, subscribing to, or agreeing to terms, employees must submit a request for review. Teams from the university, System Office IT Security, and General Counsel review requests and provide guidance, follow-up, or approval.

Fulfillment Details

Review can take anywhere from a few days to several weeks to complete. Note that follow-up documentation and clarification from the vendor is often required.

This service complies with Minnesota State University, Mankato and Minnesota State system policies, including:      

  • Federal Educational Rights and Privacy Act (FERPA) 
  • Health Insurance Portability and Accountability Act (HIPAA) 
  • Gramm-Leach-Bliley Act (GLBA) 
  • Minnesota Government Data Practices Act (MGDPA) 
  • Minnesota State Board Policies (e.g., Policy 1A.2.2 – Delegation of Authority, Policy 5.14 Part 3, Subpart B – Contract Form Approval)
