Overview
Congratulations on joining us here at Minnesota State University, Mankato! Here you will find a few of the things you'll want to be aware of in order to ensure your employment gets off to a smooth start.
Before Your First Day of Work
Before your first day of work, new hires will receive a welcome email to their personal email containing a secure link for getting started in Workday where onboarding tasks will need to be completed in order to begin system access (this email comes from a “noreply” MinnState account so be sure to check junk/spam).
Only after your employment documents have been received and entered into the payroll system, can you begin your onboarding tasks, receiving your paycheck, obtain your ID card (MavCARD), and activate your Minnesota State Mankato account granting access to Minnesota State Mankato systems including computers, e-mail, servers, etc.

No Later Than the First Day of Employment
No later than the first day of employment, go to Human Resources, 336 Wigley Administration Center, to complete and sign your I-9 Employment Verification form.
To schedule an appointment: I-9 Verification @ MNSU You will be required to provide document(s), in person, to prove your eligibility for employment in the U.S. Only genuine, original, unexpired documents from the List of Acceptable Documents can be accepted. It is advised that you carefully read the Instructions for Form I-9 (under Forms and Documents) and review the List of Acceptable documents (page 2) to ensure you are meeting the legal requirements. If you forget to bring your document(s) or they are determined to not meet the legal criteria, you will have 3 additional days from your first day of employment to provide the document(s). International faculty or employees with questions should contact Human Resources for assistance at 507-389-2015 or hr@mnsu.edu.
Note: If your employment is not at MSU, Mankato campus, and you are not able to physically come to campus, please let us know at hr@mnsu.edu or 507-389-2015 in order to being a remote I-9 process.

Getting your IDs and Access University Systems
- StarID (Minnesota State College & University System) – an eight (8) character ID which starts and ends with letters (ie:AB1234CD) used to access Workday, E-Services, D2L, Office 365 – Email (MavMail)*, PowerPoint, Excel, SharePoint, etc.
- For employees new to Minnesota State, a STAR ID will be generated by initiating the onboarding process from your welcome email.
- If you already have a STAR ID, even if it is from another institution, that is all you need! To reset your STAR ID password, please visit https://starid.minnstate.edu.

- Tech ID (Minnesota State University, Mankato) – displays on your MavCard which is utilized for local rights such as printing and door access.
Note: *MavMAIL is the official communication method for Minnesota State University, Mankato. Official University notifications regarding your employment and University events will come to you through email. Check MavMAIL at least once every 24 hours for critical university information and updates.
Get a Parking Permit
You may purchase a parking permit if needed. Additional information on local bus, shuttle, and other transportation options is also available via the Maps and Transportation webpage.

Get an ID Card (MavCard)
Everyone employed by the University should obtain a University ID card, referred to as the MavCARD. The MavCARD is required to utilize various university services, to obtain certain discounts, as well as provide access to certain campus facilities. In some cases, you may need to have a MavCARD to access the facility where you will be working. Once you have been set up in the system and a TechID has been assigned to you, yu can obtain a MavCARD at the MavCARD office located on the main floor of the Student Union, phone 507-389-1707. Please bring your driver's license with you to verify your identification.
Get Keys (if applicable)
Obtain building keys by getting a key authorization form from your dean or unit director and take the form to Security, located at 222 Wiecking Center, phone 507-389-2111.
Self Service Website
Within a few weeks of your start date you will receive an email to your employee email from minnstate@myworkday.com that will include your State of MN ID: SEMA4 (eight (8) digit number) to log into Self Service and complete your Direct Deposit and W4 information. Utilize Self Service for Insurance benefit enrollment, viewing your pay stub, enrolling in tax sheltered annuity 403(b), training and much more. Previous state employees already have a User ID and password. If you are unfamiliar with using the Self Service web site you may wish to review the introduction page listed above. You will continue to use the Self Service web site throughout your employment at Minnesota State Mankato; to update your direct deposit, W4, benefits, and various other functions.
When Will I Receive A Paycheck?
The Human Resources Calendars provide Pay Period End dates, Pay Days, and what Holidays are available per your bargaining unit's agreements.
