Overview
This guide is for Student Financial Coaches working within the Maverick Center for Financial Success, part of the Innovation Gateway. These Student Financial Coaches provide financial literacy coaching to current MSU students and will host office hours within the Navigate360 platform.
This guide will demonstrate how to schedule availability in Navigate360. It is important to set up availability so that students can schedule appointments to see you. Note that location and services were determined in consultation with COB Faculty leaders, and are created and managed by Navigate360 admin team.
If you do not currently have permissions to create availability in Navigate360 but are a current Student Financial Coach, please email the Navigate360 app admin team at navigate360@mnsu.edu for assistance.
Before You Begin
Before creating your office hours, known as Availability in Navigate360, consider your schedule and when you want to host office hours for student scheduling. See your supervisor, Dan Heibert, for instruction. Write out the days and times you will build office hours for, to include information about how you are open to meeting (in-person, virtually, via phone.) Having the information pre-determined will help you build your office hours, called Availability in Navigate360, more efficiently.
Instructions
1. Log into Navigate through the Navgiate360 Staff login link. Be sure to use your employee-based credentials: your starid@minnstate.edu. You may need to use an incognito browser if you are logged in the MSU systems with your student credentials. See the GA/TA login guide for more info.
2. Go to the Navigate360 home screen. Ensure that your Navigate360 home page is switched to the staff view. You MUST use Staff Home to create Office Hours / Availability Blocks.

3. Click on the My Availability tab.

4. Click on Action and Add Time to establish a new availability block for advising sessions.

5. Choose the days and times you want to hold your Availability blocks.
6. Choose how long this block should be active. In the very least, we suggest that you end your availability at the end of each term to ensure that you can readjust your availability if it changes for breaks/future semesters. You can also build shorter blocks, etc.
- You can build blocks for a day, a week, a semester.
- You can group days together or build separate blocks: e.g. build for all Mondays in a term, or both Monday & Tuesdays, etc., if all of the other build parameters match (hours, meeting mode options, etc.)
7. Choose if this availability block should be displayed on your personal availability link (PAL). You can find your personal advising link on the My Availability tab underneath your scheduled appointment blocks. If you want to be able to embed a scheduling link in your email signatures, for example, you will want to add availability blocks to your PAL.
8. Choose Appointments as the type of block you are setting up.
9. Select your Meeting type. Can choose multiple modes. Options are In-Person, Virtual (zoom), or Phone.
10. Select the Care Unit relevant to you. For Student Financial Coaches, use Financial Resources.
11. Select the location- SS - Maverick Center for Financial Success.
- IMPORTANT NOTE: There is only one location associated with the Financial Resources care unit. It is critical that you put your specific appointment directions into the “Special Instructions to Students” area when you set up your availability. A sample message you can use and post here is available below. You will need to add it each time you set up an office hour block and best practice is to cut and paste the text you want to provide from a saved document for ease.

If we are scheduled to meet in-person, please come to my office in XXXX building, office #.
If we are scheduled to meet virtually, please use the following link to connect with me on Zoom: LINK.
If we are scheduled to meet via phone, please call me at XXXXXXXX at our scheduled time.
12. Select your appointment services/reasons. You can choose to select one per appointment block or choose multiple to provide different appointment length options to your students.
- For Student Financial Coaching you have one service option: Student to Student Financial Coaching. Please choose this service when creating your office hours.
- The default appointment length for your service is 45 minutes.
- If you wish, you can still take day-of appointments. In those cases, students do not need to formally schedule with you, but you can file a "Report on Appointment" form within Navigate360, which essentially tracks the appointment and allows you to create an appointment summary at the same time.
13. You can post your URL/phone number in the box labeled this; however, it is critical that you do step 11 listed below to ensure students get more details for your appointments via a confirmation email when an appt is sent.
14. Ensure you put Zoom links and your office location (building/room), appointment details in the Special Instructions to Student area (see samples from step 8).
15. Click Save to establish the appointment block.


Once your Availability Blocks are saved and active, students will be able to schedule with you.
Note that once a student schedules with you, they will also receive a pre-appointment survey asking them some basic questions which will help you prepare for your appointment with them.
