Requesters prepare their email content and are responsible for following University mass email policy and procedures, including brand standards, digital accessibility, and required approvals. IT Solutions schedules and sends the email once the request is complete and authorized.

Requests and Support
Select Request a Mass Email to provide your content, intended audience, and requested send date. Submit a separate request for each email, including each send in a recurring series. Please submit requests early to allow time for review, approval, and scheduling.
Requesters are responsible for creating their email content. If your email has a designed layout, build it in RGE Studio before submitting your request, and tell us where to find the design. Emails are sent through Salesforce.
Fulfillment Details
IT Solutions reviews the request and schedules the email after the content and required authorization are complete. Requested send dates depend on approval and scheduling availability.
Policies and Compliance
Requesters must ensure their content follows the University Email Policy and Procedures, including requirements for authorization, branding, and digital accessibility. The request form documents these checks and routes approval when needed.
IT Solutions handles audience data and sends messages through University-supported tools in accordance with applicable Minnesota State privacy, security, and acceptable-use requirements. Messages must also meet applicable laws, including FERPA, the Minnesota Government Data Practices Act, and CAN-SPAM when relevant.
