If an employee entered time for dates before 7/3/24, how do we remove this?
The system office will remove any time entered for dates prior to 7/3/324. No additional action is necessary at the campus level.

How will I enter my time in Workday?
There are many different ways to enter time in Workday: autofill a schedule by prior week, by custom schedule, or by default schedule. Time may also be entered manually, and adjustments may be made day by day.

Why does my work schedule not show up as an option? How can I get my correct time schedule in Workday?
All schedules default to an M-F, 8:00 am–4:30 pm work day. The custom work schedule menu offers many options. If you have looked and still don’t see your work schedule, please contact your supervisor; they can update it on your behalf.

Can schedules be adjusted?
Yes, HR, supervisors/managers, or timekeepers, can create custom schedules to fit different time periods for their employees. Employees can request new schedules from their supervisors/managers, or the supervisor/manager can create one impromptu.

My time is not auto-populating to the default. Can you explain how we get that to happen?
When submitting time for each week you can use the action item “Auto-fill from schedule” to have your regular schedule show up in your calendar view.

Will auto-fill from the prior week carry over shift differential? Or do they need to add in manually to each part of each day?
Auto-fill from prior week should carry over the same time entered from the following week including shift differentials.

I’m a supervisor. I have an employee who needs a custom schedule entered. Please walk me through how to do it.
If the desired schedule is not available in the drop-down list, a supervisor can assign the employee a custom schedule. First, find the employee’s name in the search bar and select that person. Under the employee’s name, select Actions / Time and Absence / Assign Custom Work Schedule. The supervisor can then set the start date and end date of the schedule if needed and proceed with setting up the new schedule. Once the supervisor completes, the employee should see the schedule.

Does it matter if someone is part-time in Workday, but they have a full-time work schedule?
They can change their schedule in Workday so it is accurate and have it approved This will also allow them in the future to use the Autofill from schedule when submitting their time.

Are employees required to track their meal breaks?
Employees who are required to enter time will also need to enter the actual time they take their meal break. The work schedule will have a 30-minute meal break built into it but if they take their meal break at a different time than listed, they will need to edit the time. Meal breaks cannot be taken at the end of a shift. This data is needed for worker’s compensation compliance.

I'm leaving early one day due to vacation or an absence request; why does my schedule now say I'm working many more hours than it should?
If you are taking absence time off one day that is not for the full work day (8 hours), you will likely see that your hours worked that day are not correct. A manual change has to be made to correct this. For the day you are out early on, change the "out reason" from "meal" to "out." You're likely seeing more hours for your day because Workday automatically enters meal as the out reason for the first block of your day because it assumes you come back after lunch. When you use or enter absence time using the auto-populate schedule feature, Workday doesn't update or change the out reason for the first part of your day so the system thinks you are still working until the end of the day (midnight).
