Security Roles and Article Process in Maverick OneStop

Overview

Maverick OneStop uses security roles to manage how articles are created, edited, reviewed, and published. This process ensures content remains accurate, consistent, and aligned with university standards.

Security Roles

Maverick OneStop has several defined roles for campus contributors. These roles determine what actions you can take in the system.

Contributor

  • Can edit articles assigned to their group
  • Can submit articles for approval
  • Typically used by graduate assistants and student workers

Publisher

  • All of the Contributor role access, plus:
    • Can publish approved articles
  • Appropriate for faculty or staff who are new to TeamDynamix

Advanced Publisher

  • All of the Publisher role access, plus:
    • Can create new articles
  • Appropriate for faculty or staff with advanced TeamDynamix experience

Approver

  • Reviews and approves or rejects submitted articles
  • Can delete articles if necessary
  • Ensures final quality and compliance before publication
  • A very limited role, only assigned to a few IT staff

The Article Process

  • Drafting – Contributors, Publishers, or Advanced Publishers can edit an article.
    • New Articles – New articles can be requested using the Request Knowledge Article form. Advanced Publishers can also create new articles directly in TeamDynamix.
  • Submission – When ready, click Submit for Approval.
  • Review and Approval – Approvers verify the use of templates, digital accessibility compliance, and identify any significant errors. Approvers are not subject matter experts and will not verify subject-specific accuracy. An email is sent when an article is approved or rejected. Article writers are responsible for ensuring that their content complies with all university policies and requirements.
  • Publication – Once approved, Publishers and Advanced Publishers publish the article under the Settings tab of their article.
    • Contributor note – When a Contributor submits an article, they will receive the approval/rejection email, but the article’s owner must publish it. Contributors should notify their Publisher when the article is ready. Publishers and Advanced Publishers can also set up reports and email notifications; contact IT Solutions for assistance. 
  • Maintenance – Articles should be reviewed periodically to ensure accuracy. Every article should have a review date of one year or less.

  • Accountability – Each step of the process is clear, with defined responsibilities
  • Digital Accessibility – Content is checked to meet accessibility standards

Standard Response Time

  • Allow 1–2 business days for approval. Approvers receive a daily digest of pending articles each weekday morning and take action as soon as possible.
  • For emergency updates, submit a ticket to IT Solutions after submitting your article so it can be prioritized.
