Record Voice Greetings for Zoom Phone

Question

I want to record my own voice for a voicemail greeting, how can I do this? How do I record a greeting for a Common Area Phone? How can I record a voicemail greeting for a Call Queue? 

Overview

Zoom phone has a built-in Recording options that allows you to record your own voice to set as a voicemail greeting. 

Personal Phone

If you are a full time staff or faculty, you most likely have a full Zoom Phone license. This allows you to use the soft phone features of the Zoom Phone. If you want to customize a voice recorded voicemail greeting for your phone, please follow the directions below. 

  1. Go to Phone Settings.
  2. Under Call Handling - Greeting & Leave voicemail instruction – Click EditAdd Audio.
  3. Click on Record by Computer.
  4. Type in your Asset Name, Category and Language.
  5. Click the record button to record your voice greeting.
  6. Click Add at the bottom right.

Call Queue

If you are an administrator of a Call Queue, you will follow these directions to record customize voice recorded voicemail greetings and other greetings if desired. 

  1. Go to Assets Library and select Add.
  2. Enter Asset Name, Category and Language. Uploaded Image (Thumbnail)

IMPORTANT NOTE: Please name your Greetings with beginning with MNSU to differentiate between our campus and other campuses because we see all of Minnstate Campuses. Example: MNSU Test Voice Greeting

  1. Click the record button to record your voice greeting.
  2. Click Save & Add Editor.
  3. Add any users that need to be able to edit this greeting. (Only other Call Queue Admins can be added to this list) 
  4. Now that you’ve recorded your greeting, you need to apply it to the Call Queue.
  5. Go to Call Queues.
  6. Select which Call Queue you want to record a voice greeting for.
  7. Pay attention to if you want the greeting applied to Business Hours Overflow OR Closed Hours Overflow.
  8. Under Business Hours – Overflow – Edit – Edit – Choose from Asset Library.

  1. Search Asset Library for the greeting you created and hit Save.

Common Area Phone

If you are in charge of the greeting on a common area phone, use this process to seta voice recorded greeting. 

  1. Go to Phone Settings.
  2. Under Call Handling - Greeting & Leave voicemail instruction – Click EditAdd Audio.
  3. Click on Record by Computer.
  4. Type in your Asset Name, Category and Language.Uploaded Image (Thumbnail)

IMPORTANT NOTE: Please name your Greetings with beginning with MNSU to differentiate between our campus and other campuses because we see all of Minnstate Campuses. Example: MNSU Common Area Phone VM Greeting

  1. Click the record button to record your voice greeting.
  2. Click Add at the bottom right.
  3. The next step is to download the greeting you just recorded so that it can be sent to Telecommunications to attach to the Common Area Phone.
  4. Click the 3 dots to the right of the greeting you want to download.

    NOTE: Record where the MP3 file has downloaded to attach to your ticket to IT.
  6.  Now you need to set your original back. Go back to Call Handling - Greeting & Leave Voicemail instruction – Click Edit.
  7. Select Choose from Asset Library.

  1. Locate your original greeting and Save.
  2. Open a ticket with IT and make sure the MP3 file is attached to have Telecommunications apply the greeting to the Common Area Phone.
