Enabling Live Transcription and Saving Transcripts in Zoom Meetings

Overview

This article shows how meeting hosts or participants can view live transcription at any time during the meeting, meeting hosts can allow participants to save meeting transcripts during the meeting, meeting hosts or participants can download the meeting transcript during a meeting, and meeting hosts can enable transcripts on cloud recordings and automatically save them in the cloud.

Environment

Personal Devices: Equipment owned and maintained by individual users. 

How-To

Enabling Live Transcription in a Meeting 

Meeting hosts or participants can view live transcription at any time during the meeting.

Step 1 - Join the meeting. 

Step 2 - On the bottom toolbar, select Transcript.

Step 3 - Select caption language.

Allowing Participants to Save Transcripts in a Meeting

Meeting hosts can allow participants to save meeting transcripts during the meeting.

Step 1 - Log into the Zoom online portal with your StarID and StarID password.

Step 2 - Click Settings.

Step 3 - Click Meeting.

Step 4 - Click In Meeting (Advanced).

Step 5 - Scroll down to the Save Captions section and enable it. 

Step 6 - If you would like to only allow certain participants to save transcripts, select the checkbox beneath Save Captions and then select the option you prefer.

Saving a Transcript in a Meeting

Meeting hosts or participants can download the meeting transcript during a meeting. Note: The meeting host must have this setting enabled. Users must save transcripts before leaving the meeting.

Step 1 - From within the meeting, select Transcript on the bottom toolbar.

Step 2 - Select Save Transcript to download a copy. If you do not see the Save Transcript button, then the meeting host does not have this setting enabled.

Enabling Transcripts on Cloud Recordings

Meeting hosts can enable transcripts on cloud recordings. Transcripts will be automatically saved in the cloud along with the meeting recording.

Step 1 - Log into the Zoom online portal with your StarID and StarID password.

Step 2 - Click Settings.

Step 3 - Click Recording.

Step 4 - Scroll down to the Cloud Recording section and enable it.

Step 5 - Select the checkbox next to Create audio transcript

Viewing and Downloading Transcripts from Cloud Recordings

Meeting hosts can view and download transcripts from their cloud recordings after the meeting has ended. Ensure Transcripts on Cloud Recordings settings are enabled first.

Step 1 - Log into the Zoom online portal with your StarID and StarID password.

Step 2 - Select Recordings and Transcripts.

Step 3 - Select a meeting recording.

Step 4 - Click Audio Transcript to download the transcript.

Outcome

Based on the settings the user chooses to enable above, live transcriptions will be enabled in the meeting, participants will be able to save transcripts, and cloud recordings will automatically save transcripts.
