Setting Up Multi-Factor Authentication (MFA) in Microsoft 365

Notice: Microsoft is ending support for text and call multi-factor authentication options on February 1, 2027. The Microsoft Authenticator app will be the default authentication method. If you currently use text or call, you'll be required to switch to the app. Read more about this transition

Overview

This article outlines step by step how to set up multi-factor authentication for students, staff, and faculty. When signing in to Microsoft 365 for the first time, the user will need to complete the setup process below. How-To

Setting up multi-factor authentication in Microsoft 365 for the first time. Note: A mobile device (smart phone or tablet) and a computer (desktop or laptop) are required for setup.

  1. On your mobile device, open the App Store (iPhone or iPad) or Play Store (Android phone or tablet).
  2. Search for and install the Microsoft Authenticator app.
  3. On your computer, navigate to MavMail.
  4. Log in with your University username and StarID password.
    • Students, alumni, and emeriti username: StarID@go.minnstate.edu
    • Faculty and staff username: StarID@minnstate.edu 
  5. Click Next.
  6. Under "Step 1: How should we contact you?"
    1. Change the dropdown from Authentication phone to Mobile app.
    2. Click the button that says Receive notifications for verifications.
    3. Click Set up (a QR code will be displayed).
  7. Return to your mobile device and open the Microsoft Authenticator app.
  8. Click the three dots in the upper right corner.
  9. Click Add Account and choose Work or School Account.
  10. Click Scan a QR code (allow the app to use the camera if asked for permission).
  11. Hold the mobile device up to the computer screen to scan the QR code displayed.
  12. Close the Microsoft Authenticator app.
  13. Return to your computer and click Next.
  14. An approve/deny message will be sent to your mobile device. On your mobile device, click approve
  15. Return to your computer.
  16. Under "Step 3: In case you lose access to the mobile app"
    1. Select the correct country code for your phone under the Select your country or region drop down.
    2. Type in or verify the phone number to receive a phone call or text message as a backup in case the authenticator app is not functioning.
  17. Click Done.

Outcome

Multi-factor authentication setup will be complete.

  • From now on, you'll need your mobile device to log into Microsoft 365.
  • If you see an approval message on your mobile device but didn't try to log in, click "Deny."
  • If you lose your device or get a new one, contact the IT Solutions Center for help.
